Hello Katherine,
I apologize for the delay—with Monday a holiday and Wednesday a snow day during which our offices were closed, it
has taken me longer than hoped to complete my review of this project. But please find your CoA attached.

Hi Bob,
Thank you for the update, and I am happy to hear that you have found like enough materials to replicate that abstracted
gable/chimney element in the proposed renovation. I'll look forward to receiving those four revised pages; please feel
free to send them via email and I will print them out on my end.

Heather,
Good afternoon,
I wanted to update you on the progress we are making for the Rio Hill Shopping Center.
We had a Masonry Supplier go out to the site and think we have a reasonable facsimile for the split faced block.
See images attached.
Given this, and in relationship to the concerns that you pointed out, we in the midst of reprocessing the 4 sheets in our
booklet that illustrates the inclusion of the "Chimney like" mass consistent with other features of the center.
You should receive these images from us no later than tomorrow end of the day.
Thank you again for your help, please let us know if you have any other questions or concerns.
Best.

Deb,
Attached you will find several pictures of my visit to Rio Hill in an attempt to match the existing split face blocks and
mortar. As you can see the mortar is almost a perfect match but the 4" is giving me trouble. Attached is a picture of the
best match available when compared to the all of the samples I have available to me.
Thank You,

Heather,
The folder and plans were put on the shelf where we put the new ARB applications. I apologize that this has been
overlooked since we received it on 1/24/19.

Hi Bob,
Well, it's disconcerting that the application hasn't been processed and routed to ARB staff if you remember bringing it
yourself to the in -take staff on 1/24/19.
Again, I've consulted our permit -tracking database, County View, and there are only 10 applications that have come in
for the ARB since January 1, 2019:

Unless I am missing something, none of those titles appear to relate to Rio Hill and storefront renovations.
When you turned the booklets in, did you make the reception staff aware that this was a new application? If you did not
and you gave them my name or Margaret's, they may have put the files directly into our mailboxes believing they were
resubmission to existing ARB cases (this often happens). Again, I have not received any materials from you personally,
but I will confer with Margaret.
have also alerted Buck Smith that this issue exists and that you will be coming in today to follow up; you may wish to
ask for him directly if he's available.

Subject: Re: Rio Road Shopping Center
Good morning Heather,
We were talking about how busy we both are, and I was struggling to remember exactly what we did with the ARB
application for Rio Hill!
I talked to my co-worker who prepared the application for us, and she reminded me that we had the booklets printed on
1/24/2019 (see screen grab of T+N invoice) and that I delivered them myself!
Which is right, as once she jogged my memory, I remember dropping them off the same day T+N delivered them to our
office.
I have a job site meeting on Rose Hill this morning, so I will stop by the counter to see if we can sort it out, but the two
booklets are in Community Development somewhere.
Thanks for your response yesterday, as it is helping us figure out where they went.
Best.

Good afternoon Heather,
Hope you are doing well.
I just left a message on your voicemail but thought I would follow up with an email if that is easier for you.
I was checking to see if you had any questions, or a possible update on the Rio Hill proposed changes?
Thank you.
Best.

Hi Bob,
Thanks for the heads -up. Yes, two copies will suffice; please be sure to let the in -take staff at reception know that you
are submitting materials for a new ARB application, not that you are resubmitting materials directly to me. The intake
staff needs to assign the project a number, put the information into our database system, and create a file which they
will then hand off to me. I'll likely have it in my hands by tomorrow afternoon.
