NOTES REGARDING PUBLIC MEETINGS
1. Each applicant is allowed to make a single presentation not exceeding 15 minutes in length.The applicant may divide the 15-minute allotment
among various presenters,but the total presentation time will not exceed 15 minutes.
2. Each member of the general public who wishes to speak on a matter shall be allowed one appearance not to exceed 3 minutes.
3. Any person aggrieved by any decision of the Architectural Review Board may demand a review of the application by the Board of Supervisors.
Such demand shall be made by filing a request therefore in writing with the clerk of the Board of Supervisors within ten calendar days of the date
of such decision.For additional information see section 30.6.8 of the Zoning Ordinance.
NOTES REGARDING ARB ACTIONS
1 Certificates of Appropriateness are valid for the same period that the corresponding site plan is valid.If there is no site plan required for the
proposed work,the Certificate of Appropriateness is valid for 3 years.Applicants requesting an extension of the period of validity must do so in
writing.The letter must be received by the Director of Planning prior to the expiration date.

Dear Margaret,
Thank you for providing a quick recap of the points discussed during the last work session. We have revised the hotel
building design to address the comments discussed during the last session and we hope this will satisfy the committee's
expectations.
The building is redesigned to respond to Rt. 20 as well as the internal bypass road with an angled plan. We have
designed the building as well as landscape elements like walkway, patios, storefronts, etc. at the short end of the
building creating an effective "Front"to address the bypass road effectively.
As you can see, the landscaping and grading is also updated to follow the EC guidelines minimizing the height impact of
the building by creating the "terracing" blended with landscaping facing the internal bypass road.
The towers are now redesigned to be identified better by transferring their"Visual weight" to the ground.
The brick facade is now redesigned to avoid the horizontal separation of the building mass and to blend and relate the
building elements more effectively.
Justin will forward you the revised landscaping proposal with is complimentary to this revised design by a separate email
and we will try our best to deliver the prints of both building and site to your office by Aug rd.
We will see you on August 6th during the upcoming work session.

See attached revised preliminary ARB review document for ARB on Monday 16th.
We have not included this in the civil/site development package as the primary objective of this meeting is to get the
site plan elements discussed and approved. Also did not want to derail the conversation on building instead of site plan.
This presentation shows two options, one from last presentation with sloping roof and the new one generated in
response with flat roof.
We will carry this in print format on Monday, but just wanted to give you heads up on the comments heard during the
last meeting and our response in design:
I think it addresses most of the concerns ARB has raised during preliminary presentation namely,
1. Fewer materials: Shingles on roof and stone columns at canopy removed. Now we have brick,two color EIFS,
wood and metal flashing/coping only.
2. Lesser height impact due to flat roof
3. Better defined towers due to elimination of sloping roof
4. Canopy not inclined to avoid lighting infiltration
5. Simplified massing

Hello, Nitin.
Thanks for sending the revised architectural information. The drawings addressing visibility are very helpful, as
I think the removal of the stepped gable is an improvement. However, I think that there are still potential issues
with the number of materials, the number of building forms, and coordination among building forms and roof
forms in the updated version of the design.
The Initial Site Plan is scheduled for ARB review on July 2. Since the building design is this far along, I
recommend including this design with the initial plan for ARB review, so that you can get some direct input
from the ARB on the architecture. To do this, I need 6 paper copies of the architectural drawings. Please
provide these by 5 PM on June 8.
Please let me know if this is how you would like to proceed.

In response to our meeting at your office on Monday,April, 30th, 2018 we have updated and attached the revised
submittal for your review for the proposed hotel building with this email.
Some of the reference points in our discussion, which are addressed in this presentation are:
1. Alternate elevation (Option-1) with elimination of the stepped gable wall referred by you as "Non-C'-Ville"
character. For your and everybody's reference,we have included both the options. (Optioni-2 being the stepped
gable option)
2. We have added a three story extension to the main building block to comply with the "Step back requirement"
discussed during our meeting.
3. As you can see in the revised site plan, we have eliminated the road connection to the rear parking of the hotel,
which has eliminated all the retaining walls next to hotel and added the connection to the parking on the East of
the hotel. (Sorry,the north arrow is missing on the site plan but hotel is facing South towards US Route 250)
4. Slides#3 demonstrate the visibility of the hotel building from US Route 250. As you can see, any buildings
facing the Route 250 in the front portion of this plot will block the visibility of the hotel completely. It is only
when you are passing between these buildings when you are driving on 250 from East to West,you will see this
building.
5. Slide#4 demonstrates that this hotel from a narrow window when you come against the access road to the site.
Also the grading section shows the hotel will be set on level which is more than one story below the entry point
to the site, making only 3.5 to max 4 stories visible from US Route 250.
6. Please note that we have not added any landscape development to these slides, as that part is still in the works.
Once that design is complete, we will render these images with more context to the site development for final
ARB presentation.
Please feel free to advise us if you need any additional information to prepare for ARB to go with your positive
recommendation.Your help is well appreciated.
As mentioned before referring conversation to Margaret, please review the building placement and compliance with the
"step back" requirement of the hotel building. Hope you agree with our interpretation that we may not need to apply
for the variance.Also elimination of the front connector from Stony point side to the rear parking area of the hotel gives
up more continuity to the hotel parking using the east side connector to the front and rear parking of the hotel, which is
better from operations point of view.
Owners have chosen not to show any buildings in the front portion of the property, as for obvious reason that they are
still working on different options and do not want to block everyone in a wrong visual. But we all know definitely there
will be buildings in the front and they will be reviewed by you and the ARB team when they are ready for development.

Cameron,
We have just started looking at this project and do not have much to present to ARB. I am familiar with the process as
we have gone through while working on another project on Pantops few years back. Attached is the franchise rendering
for this brand we are doing here, but not sure ARB will be receptive of this Architectural treatment.
I would say let us wait and hear out from them what they expect of us and then prepare something, which they will like
in the first go around? Let us know if you have a strategy to approach them as you will probably dealing with other office
buildings too?
We will have site plan and if needed building plans at this point.

Also, are there any architectural renderings that can be shared with us in advance of the meeting? This is particularly
helpful for the ARB staff to see ahead of the meeting.
