What made it across my desk in February were two copies of a site plan dated 5/21/18 with a revision date of 12/21/18;
1 am aware that revised site plans have been submitted to SRC since then, which makes what I have out-of-date and
moot. I have not checked those plans for compliance with sections A-D of the Final SDP Checklist because I never
received materials samples, color renderings, revised elevations, and floor plans that are explicitly requested in section E
of the Final SDP Checklist as well as in the letter I sent you all on 1/29/19 (see attached documents). Again, a full and
comprehensive ARB package requires a full site plan as well as all architectural drawings and material samples and
colors.
This incomplete application has been denied. When you have a comprehensive and thorough application to submit you
will need to remit a new fee.

My last communication with Kelsey that same date is below. As I have not received any resubmission materials, I am
considering this application incomplete and I am denying it. When you are ready to submit a complete application for a
Major Amendment to the ARB for review, you will need to submit a new application and fee.

Although ARB review and SDP review are related, two separate applications are required and both must be complete
to be accepted for review. Not until all items on the ARB Final Site Plan Checklist are received will the ARB application
be scheduled for review. Although the checklist indicates that 8 collated paper copies of site plans are required, the
ARB has recently expressed a desire to reduce paper. Consequently, we can accept digital plans for ARB review, with
only 2 hard copies of the plans required. In the future, digital copies should be provided on a portable electronic
storage device as part of the complete submittal package. (I will accept the 1/3/19 site plan you attached to your
email this time, but 2 hard copies are still required.) Submittal items should not be provided piecemeal; they should be
provided in a single complete package with the completed application, submittal checklist, and appropriate cover
letters/comment response letters/resubmittal forms. (We understand that this requires coordination among
engineers, architects, and other team members.) If a complete submittal is received by 3:00 PM on February 4, the
project will be scheduled for the March 18 ARB meeting. If you have questions, please let us know.

Hi Chris + Heather,
I want to ensure the most up to date information for 2300 Hunter's Way has been received by the County.
We submitted revisions to the Major Site Plan Amendment on December 21, 2018 and we submitted a
VSMP Amendment on January 4, 2019. 1 checked on County View and the most recent submission date for
the SDP has not been updated.
Heather, i want to ensure you have all of the intormation you need to consider the ARB application complete.
I've attached the submitted plans to this email. If you need additional paper copies, we can drop them off;
just let me know the best way to get supplemental materials to you.
Please let me know if we can provide you with any additional information to complete your review.
Chris, on another note, please let us know if you receive any updates from zoning.

Hello Mark,
I have reviewed your submission for a Final Site Development Plan for 2300 Hunter's Way Coffee Shop and Hardware
Store. The supporting materials that are requested in the Final Site Plan Checklist — to which I referred you in our
telephone conversation last week —are in such a state of incompleteness that we will not accept your application for
this past filing deadline (January 22, for the March 0 ARB meeting). You may (re -)submit the missing materials within
1S days of the receipt of this letter and the application will be slated for the ARB meeting that corresponds with the
nearest filing deadline. If you do not (re -)submit the missing information within this 15 day window, your application
will be denied; if the application is denied, the application fee will have to be paid again whenever you are ready to
submit a full and comprehensive application package.
Please see the attached letter with filing schedule enclosed for more details.
