committed to the project and they need an April 1 start date to finish before t e quas ournament. We have spent
too much time figuring out the temporary component of this road to miss that bunrilgrd to push to have this waiver
exception approved, roadway plan approved and bonding completed so we can start 4/1/18.

Thank, Chris. I recommend a few modifications (below); hope these suggestions are helpful towards strengthening the
request. And I'm happy to jump on the phone and discuss some or all of this, if that would help as well.
- Note in bottom left would be clearer/stronger if there was a bit more information, and a distinction between the
screening (wall) and the landscaping -- possibly something along these lines:
o Screening requirements will be satisfied using the following materials:
• Existing screen fence and existing wall along the R4 Residential District; and
• New landscaping materials along the R1 Residential District, to include a minimum of 25
shrubs, five evergreen trees, two flowering trees and two canopy trees.
• All new landscaping materials will meet the minimum size requirements specified in the
applicable sections of Albemarle County Code 18-32.7.9, and will be installed per Albemarle
County Code 18-32.7.9.9.
- The purple "Area in Special Exception Request" should technically be shown on the Sports Club property, not
the Birdwood property—so the location of that purple area should be modified. (Also, it might help to use
heavier line weights and/or less opacity for the purple area, to help make it stand out more— it is one of the
most important pieces of info on the whole exhibit.)

Hey Andrew,
Per our recent discussion this morning (this afternoon?), please be advised that I tried to contact Claudette and Travis
by phone (voicemail), and again by email. In consideration of the urgency of this situation, I've since gone ahead and
submitted a "BOS Agenda request" (see below for details), for the UVA Foundation's "Connector Road" Special
Exception request to be added to the 3/14 BOS Consent Agenda.
The peculiarity here is that we haven't actually received the SE request, yet. But as you and I discussed, this whole
Special Exception issue was part of our meeting with UVAF and WM last Friday (after your departure), and this is
something I've given UVAF some feedback on (informally/ prior to submittal) as an extension of, and follow-up to, our
in-person meeting.
Even if the SE request submitted today, I honestly don't know if there will be sufficient time (before the 3/14 BOS
meeting materials are finalized) to have the Special Exception cover memo, staff analysis, and resolution go through
the whole Granicus "approval tracking" sequence. But as far as producing the cover memo and staff analysis, and
drafting the Resolution and associated conditions of approval, I would be able to get that done quickly (1-2 hours?).
Just keeping you informed, and letting you know that I just decided to err on the side of proactivity, in the interest and
spirit of"customer service" ... and I will check with the Front Desk team to see if they've received this SE request yet.

I will relay that info to the applicants, assuming they submit their SE request today (if they haven't already done so this
morning).
Also, I recognize this was an unusual agenda request to submit, so I apologize for that and hope it was no harm / no
foul. I thought it might be worth a try, considering the applicant's extenuating circumstances and considering it was
(likely) eligible as a Consent Agenda item.

I'm writing to follow up on the voicemail I left you a short while ago. More specifically, I'm contacting you in regards to a
Special Exception request being made by the UVA Foundation, in association with a road they are trying to construct in
time for their hosting of the World Squash Federation Championships this summer.

It's unfortunate that I did not brief Andrew on this request prior to your meeting this morning; but now that he and I have
both been made aware of the Foundation's time constraints (see below re: latest correspondence from Chris Schooley,
Senior Real Estate Project Manager for UVAF), I'm reaching out to you in the hopes that there may be room on the
3/14 Consent Agenda, and time to run things through the Granicus approval tracking process.
