When closing SDP/SUB files, all items should be grouped and placed in the folder based on the list below.
Please check each item included in this folder. To indicate that an item is not applicable to this file, place an
"N/A" next to the check box. The Lead Reviewer has the discretion to include any item deemed necessary to
provide clarity to the file, please indicate that item on the "Other" lines provided.
Engineering Folder - Information/documentation
Application
Notification records / Abutting Owner correspondence
Applicant Correspondence (to/from — including emails)
Complete set of printed Review Comments (ARB, Engineering, Zoning, VDOT, etc.)
Approved plan/plat (Plan/Plat that is signed, or stamped "Approved" with Planner/Engineer name)
Action Letter (Administrative Approval)
White Envelope- PC/BOS Meeting Package- Staff Report (include plan/plat presented), Action Letter
Ground Water Assessments

At the planner's discretion, copies of unapproved plans/plats may be placed in the file if it is
referenced in the staff report or minutes and lends clarity to the review at a later date. If such plans
are included, they should be clearly marked as unapproved and contain a note clarifying why it
was included.

Additional Information on this file:
♦ Planning Commission Minutes — may be obtained online or by contacting PC Recording Secretary
♦ Board of Supervisor Minutes — may be obtained online or by contacting the Clerk of BOS
♦ Construction Documents — will be added to this folder after completion of project. Prior to
completion documents may be obtained by contacting the County Engineer.
NOTES: Central Operations Development Intake/Support Specialist will; 1)"QC" CountyView for correct status
and date — update CountyView if required, 2)place a label on the outside of the folder to reflect the
appropriate status and date, 3) Acco-Fasten documents (not maps/plans), and 4) check the approved
plan/plat item on above list if required.
Central Filing Intake/Support Specialist will confirm that information on this list is in the folder. If a
folder does not have a completed form, or if items are missing, folders will be returned to the Lead
Reviewer or the Chief of Current Development for corrections.
