I'm writing to follow up with the following info regarding the required community meeting for SP201800011 for EcoVillage Charlottesville (disturbance of preserved steep slopes): - The Chair for the Places29-Rio Community Advisory Committee (Nancy Hunt) has confirmed that your community meeting can be added to the agenda for the upcoming CAC meeting on Thursday, September 27 at 6:00 pm in Room 235 of the County Office Building. The community meeting for the EcoVillage SP is scheduled to be the second agenda item on the overall CAC meeting agenda-- so approximately 6:30 might be a reasonable estimation for the start of the EcoVillage community meeting. - I've attached a map of nearby properties whose property owners need to receive the community meeting invitation. The attached spreadsheet lists all property owners, with duplicates removed. Invitations need to be sent 2 weeks in advance (or by Thursday 9/13). Also, please note: the City of Charlottesville Neighborhood Development Services needs to be invited, as well (since the EcoVillage property adjoins properties in the City). - After you mail out the community meeting invitations, you will need to confirm/verify in writing that the invitations were sent to all property owners listed on the attached spreadsheet. Whenever that happens, please send me an email with an electronic copy of the invitations attached, and copy Rio District Supervisor Ned Gallaway (ngallaway a(albemarle.org) and Planning Commissioner Bruce Dotson (bdotson@albemarle.org). I hope this info is helpful. FYI: I will be out of the office next week—so if you have any questions or requests for assistance while trying to finalize and mail the community meeting invitations, please contact Rachel Falkenstein (copied) who works closely with the Places29-Rio CAC. I had a great holiday weekend; and I hope you did, as well. Thanks for asking. And thanks again for starting the conversation about the community meeting requirement for the EcoVillage steep slopes SP application. I hope the following info is a helpful start, and I'll follow up with remaining details ASAP: The CAC is determined geographically. The EcoVillage property(s) are in the Rio-29 CAC area. Here is the link to the Rio-29 CAC page on the County website: https://www.albemarle.org/department.asp?department=cdd&relpage=18730 Unfortunately, there isn't any contact info for CAC members; and there is some necessary coordination with the CAC Chair, as well as the County Supervisor and Planning Commissioner who serve on the Rio-29 CAC. (I think it's Sup. Ned Gallaway and Comm. Brice Dotson, respectively; I'll confirm when I'm able to.) That coordination is relatively time- sensitive, since we all need to confirm there is room on the next agenda for the required community meeting for your SP application. I'll try to get the right contact info ASAP so the conversations can move forward. The next Rio-29 CAC meeting is Thursday, September 27 at 6:00 pm in Room 235 of the County Office Building. There is no agenda posted to the web page yet. Regarding the community meeting invitations—those should be sent out shortly after the meeting date is confirmed with the CAC Chair. The invitation is supposed to be sent no less than two weeks in advance (or no later than Thursday 10/13). The invitations need to be sent to everyone on the property owners list that County staff will provide. I _ will do that ASAP. I attached the community meeting guidelines as well as an invitation template for your reference/use. Thanks for your patience--- Tim Padalino, AICP Albemarle County I Community Development Dept. I am working with Dave Redding and Tom Hickman on setting a meeting location, but will wait to schedule anything until we are assigned a CAC. If you have a strong preference on the meeting location please let me know. In terms on neighborhood contact, it is recommended that we contact residents within a 500 to 1000 foot radius. I imagine the County will direct us on the appropriate radius, and provide addresses? Please let me know if there is additional information I can provide at this time. Thank you, Peter 3
