Re: Co -Development Issues
Dear Dr. Kim and Ms. Robinson:
This letter serves to formalize the arrangement between Regents School of Charlottesville
("Regents") and Trinity Presbyterian Church ("Trinity") regarding the following two items: (1)
overflow parking for large events and (2) a pedestrian pathway between our adjacent properties.
OVERFLOW PARKING
Subject to the Limiting Restrictions and Conditions set out below, Regents may use Trinity's
parking lot for events that approximate the following:
Parent Back to School Night: Routinely occurs on Thursday night prior to Labor Day. Although we
are several years from being operational, this year it will take place on Thursday, August 22"d
from 5:30-8:30 p.m.
Student Back to School Day: Typically, on a Monday morning for one hour. This year will take
place on Monday, August 2611 from 8:30-9:30 a.m.
Christmas Chapel: Once a year, typically on a Friday morning in mid -December. This year will
take place on Friday, December 20th from 8:20 — 9:30 a.m.
Grandparents Day: Typically takes place on a Friday morning in April. This year will take place on
Friday, April 2411 from 8:00 a.m. —11:30 a.m.
Spring F In : Family Picnic and event on a Saturday in the Spring. This year will take place on
Saturday, May 2nd, from approximately 3-6:00 p.m.
Ephesians Chapel: Usually the last Thursday evening in May at 6:30 in the evening for
approximately 1.5 hours. This year will take place on Thursday, May 28, 2020.
Graduation: Usually takes place on the last Friday morning in May or the first Friday morning in
June. This year will take place on Friday, May 29, at 10:00 a.m.
Limiting Restrictions and Conditions on Parking:
A. Trinity shall be notified in writing at least a month in advance of any event where
permission is being requested to park on the Trinity property, and if there is no conflict
with the Trinity schedule of events, Trinity will so notify Regents that it is agreed that
parking may be utilized at Trinity on the day and at the hours requested.
B. Regents shall clean up the area where parking occurred within 24 hours of the event.
C. Regents shall provide to Trinity an endorsement to Regents' insurance policywhich shows
Trinity as an additional insured.
D. Regents shall only park in the area which has been designated for Regents' parking.
E. If requested by Trinity for certain events, Regents shall provide parking lot attendants to
supervise the orderly parking of Regents' cars.
PEDESTRIAN PATH
The engineer's plans for the placement of the pathway to be constructed between the two
properties is attached as Exhibit 1 to this letter agreement (the "Pathway"). If now or in the future
Trinity would like to change the route of the pathway, they will inform Regents and Regents will
do so.
We hope that the above adequately addresses co -development issues between Regents and
Trinity, but we both know that in the future when Regents is operational that there will be many
things that we can work on together in our shared facilities to further the Great Commission. We
eagerly look forward to that day.
