Good evening.
The approved SUB2020-218 RE: Clark plat is awaiting your pickup for recordation.
Please note two things:
1. As mentioned previously, the plat must be recoded with all for required legal documents (deed, maintenance
agreement, declaration and affidavit) recorded together. That is a requirement for family divisions.
2. In the packet for pick up you will see 1 mylar signed/approved plat, 2 paper signed/approved plats, and I think 3
unsigned originals. It was the decision of the person signing/approving the plat that too many originals were
submitted for the approval. In reference to future approvals this should be considered in the number of
originals submitted.

Good morning.
The document have now sufficiently addressed the comments.
The signed and notarized original plats have already been submitted.
A Scan of the signed and notarized affidavit was previously submitted.
A Scan of the signed and notarized declaration (family division restrictions) was previously submitted
So the last steps in the approval are to do the following:
1. Get the a) deed and b) maintenance agreement signed and notarized (and date entered in appropriate blanks).
2. Have the signed and notarized deed and maintenance agreement scanned and then email the scans tome for
our records.
3. Once I have received the scans of the signed, notarized deed and maintenance agreement then I will do the last
quick check and get the plats signed by the appropriate people. Please note you or your consultant should
already have and should keep the originals off all of the legal documents. Those are needed for the last step
below.
4. Once the plats are signed I will keep one signed original plat
5. The remaining signed/approved originals of the plat will be left in the Community Development front desk area
for you or your consultants to pick up.
6. Once you have picked them up you or your consultant are to have the plat, along with all for legal documents
(deed, maintenance agreement, declaration and affidavit) recorded together.

Ms. Clark,
Good afternoon.
Thank you for the resubmittal of the two legal document.
Once I have had the chance to look at them I will provide you more information in reference to time frames.
I regret that you were not aware of the possible time frame for the a full review to the point of approval.
Although we try to get the comments to the applicant sooner the review of each submittal has fallen within the
allowed time frame.
At times we get backed up and since the pandemic we have had more submissions and less staff to review them, so
that backup has gotten worse.
Please keep in mind that the County can only review what was provided to us when it is provided.
We cannot control if all required items were not submitted with the 1" submittal, that they were submitted not
meeting all of the requirements or if once comments were provided the documents were resubmitted without
addressing all of those comments, necessitating another round of review.
If you have not seen the comments please let me know and I will forward them to you so that you can see why
resubmissions were required.

Good afternoon,
My name is Lauren Clark. I am Joe Clark's wife, who you have been working with to complete our
private street agreement and deed. We, along with all other individuals we have been working with
throughout this process, are becoming frustrated with how this situation is going. Our records show
that the first document was submitted on December 9th, so we are a full two months into this
process. Every time your team sends back comments for small verbiage to be changed it not only
slows everything, but is an extra expense to an already pricey process. We are completely onboard
with wanting these documents to be perfect, but are having a difficult time understanding what the
huge delay is. When being gifted family land and having the honor to raise our family on the same
farm my husband was raised, we were elated, but as this process has shown to be far more
challenging and draining, we are beginning to regret this decision. If the back and forth with our
attorney continues, we will most likely be forced to back out as the expense and time is becoming
more than projected. Our understanding is that our attorney has completed this process with
Albemarle County multiple times, so we are unsure of what is making our instance so complicated.
Moving forward, we will need a timeline of when this project should be completed/approved to have
a better idea on if we can continue to pursue owning the land.
Attached are the most recently updated versions of the private street agreement and deed.
