1)Monday,May 13,2019 @ 3:38pm Jessica requested additional information:
"We appreciate y'all discussing the proposed development and permitting process. We will provide architectural
information for review as soon as possible. Will you guys please forward the previously approved plan that requires
the variant and amendment? It would also be helpful to have the applicable application(s), checklist(s), and fee
schedule(s)for the architectural review, variant, and amendment. Thanks!"
2)Monday,May 13,2019 @ 4:00pm Christopher sent the following email to the applicant requesting
additional time to gather all documents:
"Prior to my sending a follow-up email w/the necessary documents I want to meet w/Zoning staff about the tree
save area. As you know they were not in attendance today, but I think their input is necessary before sending you a
follow-up email. 1'11 see about setting up a meeting with them sometime this week. Once I get their feedback I'll send
you an email. Thanks"
3)Monday,May 14,2019 @ 11:50am Margaret sent me an email with links to the ARB application and
checklist.
"Here is the link to the ARB application form and the corresponding checklist. Here is the link to the ARB
submittal/review.schedule."
4)Friday,May 24,2019 @ 3:39 PM Jessica sent me a follow-up email checking on the status.
"I wanted to shoot you a quick email regarding the below. Were you able to meet with the applicable staff
members? Let me know when you expect to provide the additional information."
5)Friday,May 24,2019 @ 3:52 PM Christopher sent an email some of the requested information.
"- The proposal can he a major site plan amendment, which will go to site review committee(SRC). Next week 1 can
scan the existing site plan you will be amendment and send you a link to it.
-If you would rather, this proposal can come in as an initial site plan that goes to SRC(which requires less
engineering up front), and then come hack for a final site plan. Let me know if you would rather go this route.
- You will also need to submit a special exception (SE)request to vary the ZMA application plan to change the use
on this parcel and modify the building and parking layout on that parcel from what was previously
depicted/approved in the application plan.Additionally, as part of the request you will need to request to take down
a large portion of the required screening which was preserved on that lot. Screening on the parameter lots like this
one was a major element of the application plan. Thus you will need to make the SE request and provide sufficient
justification and analysis for why the preserved trees should he removed and how the new site will maintain or meet
that element(screening)of the ZMA with your proposal.
- This proposal will also require an ARB application.
The SE requests must he approved by the Board of Supervisors before the major site plan amendment is approved.
Also, a WPO plan must be approved before the major site plan amendment is approved.
Also, an ARB approval shall be granted before the major site plan amendment is approved.

6)Friday,May 28,2019 @ 12:41 PM Jessica sent me a follow-up email checking on the status of all applicable
documents to make the request.
"I hope you enjoyed the holiday weekend. I believe we're going to submit an initial site plan and follow with a_final
site plan. Would you provide all applicable documentation, including application(s), checklist(s),fee schedule(s),
etc., regarding the ARB application and special exception request? We'll begin the submittal process once we
receive the existing plan and previously approved application."
7)Tuesday,June 4,2019 @ 12:40 PM Jessica sent me a follow-up email checking on the status.
"I've called and left a couple voice messages, but have yet to receive a reply. Have you had a chance to take a look
into the below? Please provide existing plan and previously approved application at your earliest convenience."
8)Tuesday,June 4,2019 @ 12:44 PM Christopher sent a response email:
"1 have not received a single call/voicemail from you about this follow-up question but I saw this email come down
the pipe last week and planned to jump on it today. I'll send you an email shortly."
9)Wednesday,June 5,2019(a)4:10 PM Christopher sent a final email with all requested information after
having met with Zoning to determine which application plan is the last application plan:
"For reference purposes here is the LINK to the last site plan on this parcel:SDP198800001. Additionally,
attached is the latest application plan for ZMA 1987000007. You will need to request a Special Exception (SE)to
modify the building, uses, and parking layout on the parcel from what is currently depicted/approved in this
application plan.Also, additional research into the ZMA about the screening trees on this parcel turned up
documentation that the trees at the rear of the site may he removed as part of a site plan and do not require a
variation (see attached official determination from the Zoning Administrator from 2006).
As requested below are the applications you will need to submit:
-Initial site plan application + An ARB application (separate applications)60 day review cycle for action
(comments to applicant by day 45). Submittal schedule for the initial site plan.
- Special Exception application shall be submitted at the same time as the initial site plan. The initial site plan
cannot be approved until the Special Exception is approved by the Board of Supervisors. Thus by day 45 of the site
plan review you will need to request a deferral of the initial site plan and the Special Exception to allow the Board
time to act on the request.
-Final Site Plan+ An ARB application+ WPO application (separate applications) Typically takes a minimum of
3 rounds of review to get through the process:21 day I"review of site plan, 45 day for 1"review of WPO.
