Dear Mr. King:
On January 5, 2011, the Albemarle County Board of Supervisors took action on the above referenced
special use permit, a request to amend SP2006000003 by removing condition of approval #4 which
required submittal of an application by November 3, 2010 to extend the special use permit's validity
beyond May 3, 2011. SP201000026 Pink Ribbon'Polo was approved based on the following conditions:
1. Special Use Permit 201000026 shall be developed in general accord with the sketch plan
submitted March 16, 2005, prepared by the Pink Ribbon Polo Committee, and titled "American
Cancer Society, Pink Ribbon Polo, SP2006 -03" (Attachment A -1 and A -2 [of the April 25, 2006,
report]), However, the Zoning Administrator may approve revisions to the concept application
plan to allow compliance with the Zoning Ordinance;
2. The event shall be held once (1) a year between the dates of May 30th and July 1. The event
shall be limited to the. hours of 10 :00 am and 6:00 pm. Amplified sounds shall be limited to the
National Anthem and announcements related to the polo game. The applicant shall arrange for
traffic control personnel to be placed at all locations and for what period of time the Albemarle
County Police Department deems necessary; and
3. Annual approval of a zoning compliance clearance for not more than two thousand (2,000)
attendees is required prior to commencing this use each. year. The applicant shall apply for the
zoning clearance no later than three (3) weeks prior to the date for the event.. Zoning approval
will be contingent upon the Zoning Administrator determining that the provisions in Section 51.27
of the Albemarle County Code and all conditions of this special use permit have been satisfied
and on confirmation from the Health Department, as well as the Departments of Fire /Rescue and
Police, that they have been contacted by the applicant and can recommend approval. .
Please be advised that although the Albemarle County Board of Supervisors took action on the
project noted above, no uses on the property as approved above may lawfully begin until all
applicable approvals have been received and conditions have been met. This Includes:
• compliance with conditions of the SPECIAL. USE PERMIT which includes. approval of a
ZONING COMPLIANCE CLEARANCE (condition #3).

403.2.1 Contents. The public safety plan, where required by Section 403.2, shall address such items as:
emergency vehicle ingress and egress: We have 2 officers on -site for the entirety of the event who assist with traffic flow, gates
open three hours prior to the event to help moderate traffic flow
fire protection: each tent is open - sided and has signage and fire extinguisher
emergency medical services: Western Albemarle Rescue Squad is on stand -by for the event and UVA Event Emergency Medical.
Management will be on grounds with an ambulance that is staffed by 3 EMS workers
public assembly areas: King Family Vineyards is a large estate that can more than accommodate the 2,000 attendees. There are
several large areas for people to congregate; please see the attached Field Map
directing of both attendees and vehicles (including the parking of vehicles): We have two uniformed officers who help direct
traffic off the main street and into KFV. We also have 10 -15 volunteers who help direct traffic on grounds including the parking of
vehicles
vendor and food concession distribution: N /A: Vendors only sell merchandise such as jewelry, art, t- shirts, etc
presence of law enforcement, and fire and emergency medical services personnel at the event: For the event, we have two
unifonned officers, three EMS personnel, and the fire marshal reviews /inspects all tents set up VA Tent Rental prior to the event.
403.3 Crowd managers. Trained crowd managers shall be provided for facilities or events where more than 1,000 persons
congregate. The minimum number of crowd managers shall be established at a ratio of one crowd manager to every 250 persons.
Where approved by the fire code official, the ratio of crowd managers shall be permitted to be reduced where the facility is equipped
throughout with an approved automatic sprinkler system or based upon the nature of the event:
For this outdoor polo event, we have two uniformed officers, three EMS personnel, an event committee of 12, King Family Vineyard
personnel, and 40 -60 trained volunteers to help as crowd managers for the 2,000 attendees. The maximum capacity for this event is
2,000.

We will need a copy of the Public Safety plan for the event, I have attached the fire code that shows what they will need
in the Public Safety Plan. They will also need to apply with us for tent permits, this includes any tent over 700 sq ft. We

Hello,
We have received a clearance for this year's Pink Ribbon Polo which is held at King Family Vineyards each
Father's Day weekend on June 17.
A special use permit was approved for this event which requires annual zoning clearance and approval from
ACPD, ACFR, and VDH, per the conditions of the special use permit below. The sketch plan for set -up
referenced in the SP condition is also attached. The applicant should have already been in touch with you
regarding necessary approvals. If there are any permits that will be needed from your department that they
