Pink Ribbon Polo
Event Infrastructure
For the last sip: years Pink Ribbon. Polo, held at the King Family Vineyards, has been a
successful community event which raises funds to support local breast cancer patients.
Capacity for the event is held to 2,000 people and is .mostly comprised of families and
corporate sponsors who entertain their clients and employees in tents dedicated to
sponsors of the event. Based on a request when the event was first established, the
annual event is held in June to ensure a lower participation of college students at this
family event. General Admission tickets are $25 and do not include food or alcohol in
the price.
Each year, the Pink Ribbon Polo Committee ensures the event logistics and infrastructure
limit traffic and noise concerns while providing a safe and secure environment for all
attendees.
Traffic:
+ Two unifonned. officers (Waynesboro Security Associates) are on -site for the
entire event. One officer is dedicated to directing traffic on the street at the front
gate entrance,
• Cars are directed into one of two directions (general admission or corporate) so
that traffic is very quickly pulled off the main road and dispersed onto the King
Family property.
• Gates open three hours prior to the event start which also assists with moderating
traffic flow.
• Capacity for the event is held to 2,000 people. Only 2,000 tickets are printed and
issued. Once all pre -sold corporate sponsorship tickets are released, the
remaining tickets are available for general admission sale and are tracked through
an on -line inventory. Once all 2,000 tickets are gone, the on -line service notifies
the event has been sold out and tickets are no longer available.
• If tickets are still available the day of'the event, tickets are administered at the
gate. The gate closes for admittance when the tickets are gone.
• Parking for both General Admission and Corporate Sponsors is well marked and
drivers are directed by 20 day -of volunteers.
Noise:
• The same_soun_ d DnapanyJias been_ utilized - each - year-to -reduce_ambient_noise
Speakers are strategically placed on the ground around the polo field instead of up
in the air. This greatly limits the noise generated and reduces the volume needed
to hear the game announcer and music during the event.

Pink Ribbon Polo
Environment:
• Two uniformed officers (Waynesboro Security Associates) are on -site for the
entire event. One officer is dedicated to crowd control and walks the grounds to
assess guest behavior and security needs.
• Western Albemarle Rescue Squad is on grounds with an ambulance that is staffed
with 4 -5 volunteers. To date, there have been no incidents that required their
services during the event.
• There 8 -10 port -a johns near the polo field for use. In addition, there are three
single use bathrooms inside the winery as well as another three stall facility for
women and two stall facility for men available during the entire event.
• All corporate sponsor tents are rented and set -up by a local vendor and are
inspected prior to the event by Albemarle County. Each tent is equipped with a
fire extinguisher and the exits are well marked with signage.
• Each year, the event has approximately 50 -60 volunteers to assist with the crowd,
set -up, and break -down.
• The event is held on Sunday afternoons which helps to promote Pink Ribbon Polo
as a family - friendly, community event.
• The event is relatively short and participants usually are gone by 5:00 pm.

Dear Mr. King:
On January 5, 2011, the Albemarle County Board of Supervisors took action on the above referenced
special use permit, a request to amend SP2006000003 by removing condition of approval #4 which
required submittal of an application by November 3, 2010 to extend the special use permit's validity
beyond May 3, 2011. SP201000026 Pink Ribbon'Polo was approved based on the following conditions:
1, Special Use Permit 201000026 shall be developed in general accord with the sketch plan
submitted March 16, 2005, prepared by the Pink Ribbon Polo Committee, and titled "American
Cancer Society, Pink Ribbon Polo, SP2006 -03" (Attachment A -1 and A -2 [of the April 25, 2006,
report]). However, the Zoning Administrator may approve revisions to the concept application
plan to allow compliance with the Zoning Ordinance;
2, The event shall be held once (1) a year between the dates of May 30t" and July 1. The event
shall be limited to the. hours of 10:00 am and 6:00 pm. Amplified sounds shall be limited to the
National Anthem and announcements related to the polo game. The applicant shall arrange for
traffic control personnel to be placed at all locations and for what period of time the Albemarle
County Police Department deems necessary; and
3. Annual approval of a zoning compliance clearance for not more than two thousand (2,000)
attendees is required prior to commencing this use each. year. The applicant shall apply for the
zoning clearance no later than three (3) weeks prior to the date for the event.. Zoning approval
will be contingent upon the Zoning Administrator determining that the provisions in Section 51.27
of the Albemarle County Code and all conditions of this special use permit have been satisfied
and on confirmation from the Health Department, as well as the Departments of Fire /Rescue and
Police, that they have been contacted by the applicant and can recommend approval, .
Please be advised that although the Albemarle County Board of Supervisors took action on the
project noted above, no uses on the property as approved above may lawfully begin until all
applicable approvals have been received and conditions have been met. This includes:
• compliance with conditions of the SPECIAL. USE PERMIT which includes. approval of a
ZONING COMPLIANCE CLEARANCE (condition #3).
