Dear Ms. Ragsdale,
Attached is the Zoning Clearance Application for the Charlottesville Catholic School 14t"
Annual All Terrain 5K Run/Walk to be held on Saturday, September 26, 2015. Charlottesville
Catholic School is a 501(c)(3) non-profit educational organization, all contributions to this event
are tax deductible to the fullest extent of the law and any proceeds from the event benefit the
school.
Approximately 250 people of all ages participate in this event which begins and ends at CCS
located at 1205 Pen Park Road. On-site registration is available beginning at 7:00 a.m. and the
run kicks off at 8:00 a.m. On-site registration & water tables will be set-up on the school
property only. The run route begins at the school parking lot, turning right on to the right-of-way
of Pen Park Road and then another immediate right on to park property. A certified flag person
will be stationed where the Charlottesville Catholic School driveway intersects with Pen Park
Road. Runners then proceed to the cart path of Meadowcreek Golf Course. All runners are off
the cart path in less than 30 minutes, or before 8:30 a.m. I have spoken to Rion Summers, the
golf professional at Meadowcreek Golf Course, and received his pennission for use of the
course.
From the cart path, runners move on to the Nature Trail that encircles part of the golf course,
emerging onto the park parking lot road, past the tennis courts to Pen Park Road. A certified flag
person will be positioned at the intersection.of the parking lot road and Pen Park Road. Runners
will cross Pen Park Road at this intersection and finish the race on the right-of-way of Pen Park
Road back to the Charlottesville Catholic School driveway. The time for runners and walkers to
complete the run circuit ranged from 20 to 54 minutes last year. The post run activities are
finished by 10:00 a.m. Please see the map included in the permit application.

The run route is marked with flags and traffic cones are that are provided from VDOT and the
Charlottesville Track Club are placed along Pen Park Road right-of-way. Volunteers are used
extensively and placed along the run route to direct runners, provide water and to clean-up any
articles and garbage left along the event routes. The volunteers are divided into groups by task
assignment. Each group is managed by a volunteer coordinator. All coordinators and volunteers
are given verbal and written instructions. Most of our volunteers have worked the event in past
years and are well seasoned.

Zoning Clearance Checklist
Applicant MUST HAVE the following information to apply for a Zoning Clearance:
1) Tax Map and Parcel or Address, Building Name, Suite/Unit/Floor numbers, if applicable.
2) A Floor Plan - either a sketch or an architectural drawing
a) If using less than the entire structure, note the location within the structure;
b) Note the total square footage of the use;
c) Note the square footage of each room or area of use;
d) Note the use of each room or area of use.
3) Certification that notice of this application has been provided to the property owner, if owner is
different from applicant.

Conditions of Approval
FIREWORKS:
1. No person shall sell, offer for sale, store, display or discharge any fireworks in any filling station or on any premises where gasoline
or other inflammable liquids are stored or dispensed. (Code 1967 10-1.3.) County Code Section 6-200 and 6-300 and must be a
minimum of 100 ft from any gas pumps/propane distribution tank.
2. The site shall be cleaned and restored to its original condition on or before July 11th. This shall include removal of all structures,
signs, debris, and the like.
3. A thirty (30) foot front setback shall be maintained, Display shall be located so as to avoid traffic congestion. Modifications subject
to Zoning Administrator's approval.
4. Building permits shall be obtained for all proposed structures and/or lighting.
5. Sign permits shall be obtained for all proposed signage.
6. The sale of fireworks requires a special permit from Fire/Rescue department.
CHRISTMAS TREES:
1. The outside storage of combustible material or flammable materials shall be located so as not to constitute a hazard and shall not be
less than 15 feet from any building on the site. Any open burning must comply with the Virginia Statewide Fire Prevention Code and
the Albemarle County Code,
2. The site shall be cleaned and restored to its original condition on or before January 2. This shall include the removal of all structures,
signs, debris, and the like.

USDA review is required (approx. 2 weeks but as long as 6 weeks) .
3. If you are serving prepackaged baked goods but not making them on the Premises, only Health Department will review. (2 to 5 days)
4. If you will be operating any business that is in an industrially zoned district or of an industrial nature you will need to provide a
Letter of Performance Standards or Certified Engineer's Report (a staff member will provide an infonnation packet addressing this
requirement) (5 to 10 days as soon as the Letter or Report is received by this Department)
5. If there has been no site inspection within the last three (3) months for the parcel/site, then one will be conducted to verify that the
project is in compliance with an approved site plan (if applicable).

Runners proceed down the CCS driveway and immediately turn right and cut through the
adjacent property to the golf course cart path. Runners follow the cart path until the 1
mile mark cutting across the grass to rejoin the cart path near the pond and continue on
the path until it intersects with the Nature Trail. The run route continues on the Nature
Trail, over the bridge, to where it connects with the fitness portion of the trail. Following
the Fitness Trail runners finish the route by cutting up through the hedge row to the
parking lot road of the golf course just past the tennis courts. The final stretch brings
runners back to Pen Park Road, turning right and returning to CCS via the right-of-way to
the school driveway.
