You can fill in the details as necessary once we verify the time/date/location. Right now it’s looking like Caliber Collision will be able to get on the September 21st agenda for the 5th & Avon CAC meeting. However, there are several other items scheduled for that date, so the SP won’t be discussed until the end of the meeting, likely around 7:30 or 7:45 PM. Would that be too late for you? Typically the discussion of SP applications only lasts 20-30 minutes. I will confirm tomorrow morning whether the 21st is definitely available. I appreciate you working with me on this given the tight timeframe! Francis MacCall forwarded me an email you sent him regarding setting up the Community Meeting for this application. You are correct – the Community Meeting typically should be held within 31 days after the application has been sent to the lead planner. Your application came in under the August 21st submittal date, which means that the deadline for me to send you the first round of comments from all reviewers is October 6, 2017. Applicants are usually asked to schedule their Community Meeting as an agenda item during the next regular Community Advisory Committee (CAC) meeting for whatever CAC district the subject property lies in. In your case, this is the 5th & Avon CAC. The next 5th & Avon CAC meeting is scheduled for to start at 7:00 PM on September 21st, 2017. I am working right now with other County staff members to ascertain whether the agenda is full for the September 21st CAC meeting. You can access the 5th & Avon CAC webpage HERE. You can see all the CAC member names and their contact info, as well as upcoming CAC meeting dates. Please take a look at the PDF document attached above titled Community Meeting Guidelines. If the CAC agenda is full for the 21st, you will need to identify another date, time, and location in accordance with items #4 and #5 in the Community Meeting Guidelines. The meeting should be held a minimum of three or four days prior to October 6th. I have attached a spreadsheet that has the names, addresses, and contact info for adjacent property owners, community members, and County staff that you will need to notify of the Community Meeting. As stated in item #6 in the Community Meeting Guidelines, the applicant must prepare a notification letter that will be mailed to everyone contained in that list. Please let me know if you would like me to send you a sample notification letter. One more thing: if there is space on the September 21st CAC agenda for Caliber Collision, you will need to send out the notices by this Friday, September 8, 2017 at the latest. I know this is late notice, but we’re trying very hard to get the CAC question squared away this evening or by early tomorrow morning so you have time to prepare the letter and get the mailings sent out. The project is proposed to include 2,175 square feet of office space and 16,460 square feet of shop floor space within the building. 53 parking spaces for public access are proposed and approximately 40 spaces for vehicle storage to be screened by a privacy fence from all sides would be provided. A shared drive with “Avon Motors” has been proposed to the state department of transporation. The business typically operates from 7 a.m. to 6 p.m. on weekdays and is strictly a body repair facility. No vehicles are stored long term or used for parts. The purpose of the meeting is to provide an opportunity for residents to receive information and ask questions about the proposed project, County review procedures, and relevant regulations and policies of the County applicable to the proposed project. The applicant and County Staff will be available at the meeting to answer questions about the project and the review process.
